SBDM Meeting Minutes
Monday, July 13, 2026
10:30 AM in the BCMS PLC/Faculty Room
The Butler County Middle School SBDM council met in regular session on July 13, 2026, at 10:30 AM. The following SBDM members were present: Monica Thornton, Amy Rogers, Holly Howard, Leslie West, Kayla McKinney, and Principal Tim Freeman led the meeting.
The meeting was called to order at 10:30 AM.

Examples of Budgets: Mr. Freeman displayed examples of budgets to educate new council members on how to read expenditures and SBDM accounts. Budgets on display were the SBDM Allocation Budget, SBDM Budget, and the BCMS Ledger Budget
Approvals:
Approval of Agenda: There were no additional items added to the agenda. Mrs. McKinney made a motion to approve, and it was seconded by Mrs. Thornton. Consensus was met.
Approval 26-27 SBDM meeting, time, date, and location: Mr. Freeman suggested the second Monday of every month at 3:15 PM in the BCMS Faculty Lounge. Mrs. West made the motion to approve, and it was seconded by Mrs. McKinney. Consensus was met.
Approval 26-27 BCMS SBDM BCMS Secretary: Mrs. McKinney volunteered her service. Mrs. Thornton made a motion to approve, and it was seconded by Mrs. West. Consensus was met.
Approval of the 26-27 SBDM Allocation Budget: Mrs. Howard made a motion to approve, and it was seconded by Mrs. McKinney. Consensus was met.

Mrs. West made a motion to approve, and it was seconded by Mrs. Howard. Consensus was met.
Approval of SmartPass System for the 26-27 school year: The council reviewed the invoice from SmartPass and Mr. Freeman answered questions about the program. Mrs. McKinney made a motion to approve, and it was seconded by Ms. Rogers. Consensus was met.
Approval of the purchase for 30 student desk chair combos from School Outlet: The council reviewed the invoice from School Outlet. Mrs. Howard made a motion to approve, and it was seconded by Mrs. Thornton. Consensus was met.
Approval of the BCMS Yearbook Contract: The council reviewed the contract and Mr. Donaldson and Mr. Freeman were able to answer questions regarding the details. Mrs. West made a motion to approve and it was seconded by Mrs. Howard.
Approval to transfer funds from SBDM 0610 to the Art Ledger Account in the amount of $584.44. The transfer of funds will allow art supplies for students in the BCMS art class. There was an itemized list enclosed in the SBMD packet. Mrs. McKinney made a motion to approve and it was seconded by Ms. Rogers.

26-27 BCMS Arrival and Dismissal map and time: The council reviewed.
26-27 BCMS Virtual Contract: The council reviewed
26-27 IC Parent Portal/ParentSquare: IC Parent Portal is open, and student schedules are available. The grade level list in ParentSquare has not been rolled over to the 26-27 school year because not every school in the district is ready for release. The scheduled rollover date is set for July 17, 2026.
26-27 BCMS 6th Grade Open House: August 4th, 4:30PM-6:30PM
26-27 BCMS 7th/8th Grade Open House: August 6th, 4:30PM-6:30PM
26-27 BCMS Observation Schedule: The council reviewed.
BCMS Title I Parent Resource Card: The council reviewed.
26-27 BCMS PD Schedule: The council reviewed.
Summer Building Updates: Trane is scheduled to be completed before the end of July. The custodians will complete hallway waxing, and the building will be open for operation.
26-27 Open Enrollment: Open Enrollment is available on the district website. All returning and new students in Butler County Schools must enroll.
Vacant Positions: All vacant positions at BCMS have been filled
Duty of Receipt: All council members reviewed their duties and responsibilities for KRS 158.153

Adjourn: With no other items on the agenda, Mrs. West made a motion to adjourn, and it was seconded by Mrs. Howard. The meeting was adjourned at 11:24 AM.
